Modernizing Processes: Retroactive Pay

October 26, 2017
Dear Campus Community,

Earlier this month, we shared a little about the Dec. 6 launch of UCPath, which will streamline payroll, benefits, human resources, academic personnel and timekeeping into a single system. Since then, our campus UCPath team has presented on the topic in several forums and hosted orientations for many stakeholders on campus.

The initiative, led by the UC Office of the President, is one of the largest business transformation projects in U.S. higher education. It also represents UC Merced’s next step in modernizing our business systems and processes to eliminate the duplication of efforts that interferes with productivity and causes frustration throughout the campus community.

Once we join the systemwide payroll system, many of our business transactions will shift from UCLA, our current payroll provider, to a shared service center in Riverside. As a result and absent one-off, compelling circumstances, rush checks and retroactive “batch” pay calculations will no longer be supported.  For example, if an employee’s start date misses the pay cycle cutoff, their first check will be issued at the next scheduled pay date, with all accrued wages included. We therefore must adjust our processes at the campus level to ensure all employees are served efficiently.

The UCPath Center’s decision to restrict retroactive pay calculations affects student, faculty and staff employees differently. Stay tuned for subsequent messages that detail the potential impact for your specific group.

The UC Merced UCPath team will also be offering several opportunities to learn about how this change might affect you. Representatives will be at tomorrow’s Open Enrollment Benefits Fair from 11 a.m. to 2 p.m. in the Joseph E. Gallo Recreation and Wellness Center. The team will also answer your questions during a live webcast from 1 to 2 p.m. Nov. 9 (details to come).

In the meantime, you’re welcome to email ucpath@ucmerced.edu for more information.

Sincerely,

Brian Powell, Interim Vice Chancellor for Business & Administrative Services
Gregg Camfield, Vice Provost for Faculty
Brian O’Bruba, Executive Director – Office of Leadership, Service and Career
